This policy also includes information about Our rules regarding Webinar registration and recording. Q*Bird Products – Falqon® Series

If You express interest in, request information about, purchase, or use any Q*Bird hardware product, including those in the Falqon® Series designed for quantum network communication, We may collect additional personal and technical data as necessary. This may include:

  • contact and identity data for order processing, delivery and support;
  • technical deployment data (e.g., installation location, system configuration);
  • usage, support and diagnostics logs for troubleshooting and performance monitoring.

Your data may be used to:

  • deliver and install the product(s);
  • provide technical and warranty support;
  • perform compliance and security assessments;
  • contact You for feedback or service improvements.

This data will be handled in accordance with this Privacy Policy, under strict confidentiality and with appropriate technical and organizational safeguards like encryption, access controls and secure servers.

Webinar Registration

If You register for one of Our Webinars, We will collect and process the personal data You provide to Us for the purpose of managing Your attendance. This may include Your name, e-mail address, telephone number, company name and job title.

Webinar Recording

We may record Our Webinars for internal Use, training purposes, and to provide access to the content to those who were unable to attend the live session. If We intend to record a Webinar, We will inform You before the start and give You the opportunity to decline to be recorded.

Q*Bird Academy Registration

If You register for one of Our Q*Bird Academy sessions, We will collect and process the personal data You provide for managing Your attendance. This may include Your name, e-mail address, telephone number, company name, job title, organisation type and country.

Q*Bird Academy Recording

We may record Q*Bird Academy sessions for internal Use, training purposes, and to provide content access to others. We will inform You prior to any recording and provide an option to decline participation in the recording.

Events, Exhibitions and Photography

From time to time, Q*Bird may host or participate in internal and external events or exhibitions. During these events, photographs and/or video recordings may be taken by Us or authorised third parties.

These materials may be used by Us for promotional and educational purposes, including use on Our Website, in reports, social media, newsletters, and other communications.

If You do not wish to be photographed or recorded, please notify Us prior to the event or inform a Q*Bird representative on-site. We will take reasonable steps to respect Your preference.

HR and Recruitment

If You apply for a job or internship at Q*Bird, We will collect and process personal data necessary for recruitment and employment purposes. This may include Your name, contact details, CV, cover letter, qualifications, references, LinkedIn profile and other information You voluntarily provide during the application process.

Purposes for Processing

  • Assess Your suitability for the role You applied for;
  • Contact You regarding Your application and the recruitment process;
  • Conduct interviews, assessments, and background checks (where applicable and permitted by law);

    Data Retention

    We retain Your recruitment data for up to 12 months after the position is filled unless:

    • You give explicit consent for Us to retain Your information for future job opportunities (up to 24 months);
    • A longer or shorter retention period is required by law.

    After the retention period, Your personal data will be securely deleted.

    If You become an employee, Your recruitment data will become part of Your employee file and will be retained in accordance with Our employee data retention policy.

        Category of Data Retention Period
        Customer & product data Duration of the contract + 7 years (to comply with Dutch tax and accounting obligations).
        Webinar & academy registrations Up to 12 months after the event. Recordings are retained only with prior consent, for as long as necessary for the training purpose, but no longer than 24 months.
        Event photos & videos Retained until they are no longer relevant for promotional purposes, or earlier if you object.
        Recruitment data 12 months. If you become an employee, data will move into your personnel file and be retained in line with employment law (see below).
        Personnel / HR Data 5 years after employment ends; other personnel documents: maximum 2 years after employment ends (AP guideline).
        Marketing data (e.g. mailing list) Until you withdraw consent or unsubscribe.
        Website analytics (Google Analytics, cookies) Non-essential cookies and related analytics data are anonymised or deleted within 14 months, unless you withdraw consent earlier.
        Product usage logs / Diagnostics Up to 2 years for troubleshooting, compliance and security monitoring.

          Under the GDPR, You have the following rights:

          • to access the personal data We hold about You;
          • to request rectification of inaccurate or incomplete data;
          • to request deletion of Your data (“right to be forgotten”);
          • to restrict or object to processing;
          • to receive Your data in a portable format;

          We will respond to your request within one month of receipt. If your request is complex, we may extend this by two additional months, but we will notify you in advance.
